Refunds & Cancellations

This policy sets out the terms on which refunds and cancellations are available for paid event registrations with Chennai Astronomy Club. Merchandise orders are governed separately.

1. Scope

This Refunds & Cancellations policy applies to payments made to Chennai Astronomy Club (the “Club”) for event registrations, including star parties, city meetups, workshops, and similar activities. It does not apply to merchandise. Merchandise is governed by Shipping & Returns.

This policy should be read with the Terms of Service. In the event of a conflict relating to event refunds, this policy prevails.

2. Event Fees

  1. Amounts collected for events are a cost-sharing contribution towards venue, food, rooms, and related logistics for the relevant event. They do not constitute a membership fee.
  2. The amount payable, the currency (INR), and the registration close time are stated on the event page and/or registration form before payment is collected.
  3. Payments are processed through third-party payment gateway service providers. Refunds, where due under this policy, are initiated to the original payment method.

3. Participant Cancellation

A refund of the amount paid for a registration shall be issued to the original payment method only if the cancellation request is received before the refund cutoff. After the cutoff, no refund shall be due.

The refund cutoff is the earlier of the following, in India Standard Time (Asia/Kolkata):

  1. Seven days before the start time of the event, or of the session paid for if the event has more than one date.
  2. The announced registration close: the registration close time stated on the event page or registration form, when one is announced.

Payment after the cutoff: if payment is made after the refund cutoff has already passed, no refund shall be due.

Failure to attend (no-show): no refund shall be due.

A cancellation or refund request must be sent to hello@chennaiastronomyclub.org or submitted through the contact form, and must include the event name and the email address used at registration.

4. Refund Processing

  1. Where a refund is due under clause 3, the Club will initiate the refund to the original payment method after confirming the request.
  2. Refunds typically reflect in the source account or instrument within seven (7) to ten (10) business days after initiation. Actual credit timing depends on the payment gateway, bank, or UPI application and is outside the Club’s control.

5. Merchandise Orders

Cancellation, replacement, and refund of merchandise (including logbooks and calendars) are governed exclusively by the Shipping & Returns policy.
